Quick Answer

Share Figma designs with your team by clicking the Share button in the top-right corner, entering team members' email addresses, and setting appropriate permission levels. You can also copy and share the file link or invite members to your Figma team for ongoing collaboration.

Prerequisites

  • Active Figma account
  • Design file created in Figma
  • Team members' email addresses
  • Appropriate permissions for the file

Step-by-Step Instructions

1

Open your design file

Navigate to your Figma dashboard and open the design file you want to share with your team. Make sure you're in the main editing view of the file, not in presentation mode or prototype view.
Ensure your design is complete or at a shareable stage before inviting team members
2

Click the Share button

In the top-right corner of the Figma interface, locate and click the blue Share button. This will open the sharing dialog where you can manage access to your file.
3

Add team members by email

In the sharing dialog, click in the text field that says Add people, emails, or groups. Type the email addresses of team members you want to invite, separating multiple emails with commas or pressing Enter after each email.
You can paste multiple email addresses at once from your clipboard
4

Set permission levels

For each team member, select the appropriate permission level from the dropdown menu:
  • Can edit - Full editing access to modify designs
  • Can view - Read-only access to view and comment
  • Can comment - Can add comments but cannot edit
Choose the level that matches each person's role in the project.
Start with 'Can view' permissions and upgrade as needed to maintain design integrity
5

Send invitations

After setting permissions, click the Send button to send email invitations to your team members. They will receive an email with a link to access the design file and instructions to join if they don't have a Figma account.
6

Alternatively, click Copy link in the sharing dialog to get a shareable URL. You can then paste this link in team chat, email, or project management tools. Make sure to set the link permissions to Anyone with the link if sharing outside your organization.
Link sharing is faster for large teams but offers less control over individual permissions
7

Manage team access

To modify sharing settings later, click the Share button again. You can change permissions, remove access, or add new team members. The sharing dialog shows all current members with their permission levels.
Regularly review and update permissions as team roles change throughout the project

Common Issues & Troubleshooting

Team members can't access the shared file

Check that they have Figma accounts and verify the email addresses are correct. Ensure the file permissions are set properly and the link hasn't expired.

Share button is grayed out or missing

You may not have owner or edit permissions for this file. Contact the file owner to request sharing permissions or ask them to share the file with your team.

Team members can see the file but can't edit

Change their permission level from Can view or Can comment to Can edit in the sharing dialog. Click their name and select the new permission level.

Shared link shows 'Access denied' error

The link permissions may be restricted to specific people. In the sharing dialog, click the gear icon next to Copy link and change the setting to Anyone with the link.
