Quick Answer

Add your company logo to Xero invoices by navigating to Settings > General Settings > Invoice Settings and uploading your logo file. The logo will automatically appear on all new invoices and can be repositioned using the invoice template editor.

Prerequisites

  • Active Xero subscription
  • Admin or Advisor access to Xero organization
  • Company logo file in PNG or JPG format (max 1MB)
  • Logo dimensions ideally 300x100 pixels

Step-by-Step Instructions

1

Access Invoice Settings

Log into your Xero account and click on Settings in the main navigation menu. From the dropdown, select General Settings, then click on Invoice Settings from the left sidebar.
Make sure you're logged in as an admin or advisor to access these settings
2

Navigate to Logo Upload Section

Scroll down to the Invoice Branding section. You'll see an option labeled Logo with an Upload button or a placeholder image if no logo is currently set.
3

Upload Your Company Logo

Click the Upload button and select your logo file from your computer. Xero accepts PNG and JPG formats with a maximum file size of 1MB. Once selected, click Open to upload the file.
For best results, use a logo with transparent background (PNG) and dimensions around 300x100 pixels
4

Position and Resize Logo

After uploading, you can adjust the logo size using the Size slider. Use the positioning options to place your logo in the Top Left, Top Center, or Top Right of the invoice header.
Preview your changes using the sample invoice shown on the right side of the screen
5

Configure Logo Display Options

Choose whether to display the logo on Invoices, Quotes, Credit Notes, and other documents by checking the appropriate boxes in the Show logo on section.
It's recommended to enable the logo on all customer-facing documents for consistent branding
6

Save Your Changes

Click the Save button at the bottom of the Invoice Settings page to apply your logo to all future invoices. The changes will take effect immediately.
7

Test Your Logo on New Invoice

Create a new invoice by going to Business > Invoices > New Invoice to verify that your logo appears correctly. Check the positioning, size, and overall appearance.
Send yourself a test invoice to see how it appears to customers

Common Issues & Troubleshooting

Logo appears blurry or pixelated on invoices

Upload a higher resolution logo file. Ensure your logo is at least 300x100 pixels and save it at 300 DPI for crisp printing quality.

Logo file won't upload or shows error message

Check that your file is under 1MB in size and in PNG or JPG format. Try compressing the image or converting to a supported format if needed.

Logo doesn't appear on existing invoices

Logo changes only apply to new invoices created after the setting is saved. To update existing invoices, you'll need to edit them individually or recreate them.

Logo positioning looks wrong or cuts off

Go back to Invoice Settings and adjust the Size slider and Position options. Use the preview pane to see changes before saving.
